Sentinel by DealDesk is provided by JK66 Car Sales Ltd. Sentinel helps motor trade teams create assigned collection, delivery, appraisal and inspection jobs, invite drivers or inspectors, capture condition evidence and share inspection reports.

What personal data Sentinel collects
The data collected depends on how a dealer or authorised user uses Sentinel.
- Account and login data, including name, email address, password hash, role, access level, session information and password reset or invite activity.
- Invited user data, including invite email address, invited name, invite status, assigned job, acceptance time and the user who sent the invite.
- Vehicle and job data, including registration, vehicle details, inspection type, due date, job notes and assignment details.
- Collection and delivery addresses and contacts, including contact names, phone numbers, email addresses, access notes and timing information entered for a job.
- Inspection evidence, including photos, damage notes, condition observations, signatures, report snapshots, PDF/report links and related metadata.
- Location data where a user chooses or is asked to capture location evidence for an inspection step.
- Technical and security logs, including IP address, browser/device information, request logs, error logs, authentication events and security audit information.
Lawful basis
Where JK66 Car Sales Ltd acts as a controller for its own account, security, support and service administration data, we usually rely on contract, legitimate interests, legal obligation or consent where appropriate.
Where Sentinel processes inspection job data on behalf of a dealer or business customer, that customer is normally the controller and JK66 Car Sales Ltd acts as processor. The dealer is responsible for identifying the lawful basis for collecting and using job, contact, address, photo, damage and signature data in Sentinel.
Controller and processor roles
JK66 Car Sales Ltd is controller for operating Sentinel accounts, managing platform security, responding to support requests, improving reliability and meeting legal obligations.
For inspection job data entered by a dealer or its authorised users, the dealer or business customer is normally the controller. Sentinel processes that data to provide the service, follow customer instructions and keep the platform secure.
Service emails and marketing emails
Sentinel sends service emails needed to run the product, such as invites, password setup links, password reset emails, job notifications, support replies and security notices.
We do not currently use Sentinel account or inspection data for marketing emails. If marketing email is introduced, it will be handled separately with appropriate choices and unsubscribe controls.
Data sharing
We share data only where needed to provide Sentinel, support customers, comply with law or protect the service. This may include hosting providers, email delivery services, storage providers, professional advisers, regulators or law enforcement where legally required.
Dealers and authorised users may create report links or share reports with recipients they choose. The dealer is responsible for ensuring those recipients are appropriate.
Security
Sentinel uses account access controls, session security, hashed passwords, HTTPS, dealer-scoped access, invite controls and operational logging. Users should keep credentials secure and only upload job data they are authorised to process.
Report links and invite links should be treated as sensitive. Contact security@dealdesksentinel.co.uk if you believe data has been exposed or an account has been compromised.
Retention
We keep account, invite, job, inspection and report data for as long as needed to provide Sentinel, support customers, maintain audit records, resolve disputes and meet legal or contractual requirements. Dealers can request export or deletion of their job data where applicable.
Your rights
UK data protection law may give you rights to access, correct, delete, restrict or object to processing of your personal data, and to request portability. Some requests may need to be handled by the dealer or business customer if they are the controller for the relevant inspection job data.
